We get asked this all the time, and we have different ways we can operate to support you - this is why from day one we also introduce you to the Head of IT as this is a key relationship.
Is document security and GDPR in the back of your head niggling you, it's OK, we are fully GDPR compliant, we have to be due to the core of the business and its model. If anything the back office in India is more secure than 99.9% of UK offices - just ask our Consultants
Cloud accounting is the best and easiest for everyone. We would have usernames and passwords, as if we were an employee. There are huge benefits in operating in this way. However, do we expect this from day one, no? The reason is trust, you don't know us. Would we want to work toward this solution, of course?
Scanned documents sent across to us via our secure platform (SSL) accessible via a username/password is very easy to use. When accessed you have two default folders, one says "TO" and the other "FROM" - that's work you want to send TO us, and the work you receive FROM us, couldn't be simpler. All we ask is a simple email to your dedicated Fellow Chartered Accountant to say what's in there, what needs to be done, any preferential order etc....as you would with a member of your team. If you do not have the resources to scan in-house, we would highly recommend sourcing a local "document management company" who can archive your business, digitise your documents and even upload them to the secure platform. Remote access, server to server - this is a very secure way in which to operate if you have a dedicated PC in your office that we can access. This isn't our preferred way as there will always be a slight delay which means jobs will take slightly longer, whereas the scanned documents mean we can operate quicker.
Prime documents - we all have those customers who no matter what will not take ownership and digitise their own paperwork to help themselves to help you, which in turn will help the both of us. We are, due to the core of our business, set up to take these if needed. It's not our preferred way for other UK Practices as we want the best slickest process possible, but we are set up and have a process around taking them. We would always recommend getting these prime documents scanned in, if you do not have resources in-house, we would highly recommend sourcing a local "document management company" who can archive your business, digitise your documents and even upload to the secure platform.
